What we track

Every obligation, with the rule written down.

We track nine compliance items. Each one has a standard renewal cycle, a legal basis, and an applicability rule (some apply only to HMOs, some only to single lets). Below is exactly what we monitor — nothing hidden, nothing "AI-powered", no surprises.

🔥

Gas Safety Certificate (CP12)

12 months

Annual gas safety check by a Gas Safe registered engineer. Required for any rental property with a gas appliance (boiler, gas hob, gas fire, gas water heater).

Legal basis: Gas Safety (Installation and Use) Regulations 1998
Consequence if missed: Invalidated landlord insurance; tenant can complain to council; civil penalty up to £6,000 per breach
⚡

EICR (Electrical Installation Condition Report)

60 months

Inspection of the fixed electrical installation by a qualified electrician (NICEIC, NAPIT, ELECSA or equivalent). Required for all new tenancies from 1 July 2020; required for existing tenancies from 1 April 2021.

Legal basis: Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020
Consequence if missed: Up to £30,000 fine per breach; tenant can request copy and complain to council
🏠

EPC (Energy Performance Certificate)

120 months

Required to market or let any property. Must achieve a minimum rating (currently E for new tenancies; C target under MEES reform — verify current threshold). Re-assessed every 10 years or when material changes are made to the property.

Legal basis: Energy Act 2011; Minimum Energy Efficiency Standard (MEES) Regulations
Consequence if missed: Up to £5,000 per breach; cannot legally let property below threshold
🧯

Fire Risk Assessment

12 months (best practice)

Required for HMOs and any property with communal areas. The statutory duty is "suitable and sufficient" rather than a fixed cycle, but the accepted best practice — and what we monitor — is annual review.

Legal basis: Regulatory Reform (Fire Safety) Order 2005
Consequence if missed: Unlimited fine and/or up to 2 years' imprisonment for the "Responsible Person"
🏘️

HMO Licence

~60 months (council-specific)

Required for any property let to 5+ occupants from 2+ households (mandatory HMO), plus any property in a council's additional or selective licensing area. The cycle varies by council — most are 5 years, some are 3. ComplianceTrack lets you override per property.

Legal basis: Housing Act 2004 (Part 2)
Consequence if missed: Rent repayment order (up to 12 months' rent); unlimited fine; cannot legally serve Section 8
💧

Legionella Risk Assessment

24 months (best practice)

Duty of care to assess the risk of Legionella bacteria in the hot and cold water systems. No fixed statutory cycle, but the HSE's ACOP L8 and HSG274 recommend review every 2 years or on change of tenancy.

Legal basis: Health and Safety at Work etc. Act 1974; HSE ACOP L8
Consequence if missed: Tenant illness/death; corporate manslaughter risk; insurance invalidation
🚨

Smoke & CO Alarm Checks

per tenancy

One working smoke alarm on every floor used as living accommodation. A CO alarm in any room with a solid fuel appliance, and (since 2022) in any room with a gas appliance used as living accommodation. Landlord must check alarms are working at the start of every tenancy.

Legal basis: Smoke and Carbon Monoxide Alarm (England) Regulations 2015 (amended 2022)
Consequence if missed: Up to £5,000 civil penalty per breach
💰

Deposit Protection

within 30 days of receipt

Any deposit taken must be protected in a government-approved tenancy deposit protection scheme (DPS, TDS or MyDeposits) within 30 days of receipt. The tenant must receive the prescribed information (scheme name, address, amount, landlord/ agent details) in the same window.

This is the one deadline with no grace period. Miss it and you cannot serve a Section 8 notice until the deposit is protected and the prescribed info is served.

Legal basis: Housing Act 2004 (Chapter 4)
Consequence if missed: Tenant can claim 1×–3× the deposit as compensation; Section 8 invalidated
📋

Right to Rent Check

per tenancy

Check every adult tenant's right to rent in the UK before the tenancy starts. For tenants with time-limited immigration status, the check must be repeated before the visa expires.

Legal basis: Immigration Act 2014 (Part 3)
Consequence if missed: Up to £3,000 per illegal worker (civil penalty)

ComplianceTrack is a tracking and reminder tool. The underlying certificates must still be obtained from qualified professionals (Gas Safe engineer, NICEIC electrician, accredited deposit scheme, etc.). We help you remember to get them; we don't issue them.

Rules and applicability can change. We review our rules table quarterly against gov.uk guidance, but always confirm current requirements with your local council or a qualified solicitor. Full disclaimer.
